It might not feel like it but now we’re in July, it’s officially summer. That means long summer holidays and warmer dryer weather (we can hope). As a result facilities are working overtime to keep occupants cool, dry and healthy. All this means facilities managers will be doing a lot of overtime. To make things that little bit easier we’ve put together a checklist all FMs should be working through over the next few months.
Start at the top – inspecting the roof
- Check for areas where water is pooling after heavy rain
- Look out for signs of wear, cuts or stress
- Make sure there are no vines or trees threatening the roof or guttering
- Ensure any skylights are still water tight
- Make sure everything is sealed properly – flashing, pitch points and other roof penetrations
- Ensure drains and downspouts aren’t clogged – if you find that they are give us a call
Don’t lose your cool – checking HVAC systems
- Make sure thermostats are properly calibrated
- Check all air filters every 30 days
- Inspect cooling towers for proper water treatment feed rates, blowdown and level controls
- Lubricate compressor fan motors every 90 days and make sure they’re running at (or below) their specified amp rating
- Ensure HVAC preventative maintenance programs are adequate given the systems age and spec
Check the power – electrical inspection
- Ensure emergency light systems are working as they should be
- Make sure you’ve “exercised” emergency generators in the last 14 days
- Test circuit breakers to make sure they’re working properly and not tripping when they shouldn’t be
- Exchange all extension cords for proper permanent wiring
- Look out for dead bulbs in areas that need to be properly lit like car parks.
- Stock up on spare fuses, bulbs and batteries
Keep a record – make sure documents are all up to date
- Emergency response and business continuity plans
- Facilities, HR, IT, and senior management contacts lists
- Irrigation and landscaping inspections
- Exterior walls, doors, and window inspections
- Systems furniture condition
- Elevator inspections
- Fire protection system inspections
- Capital and operating budget status
- Progress toward personal and professional goals
While this list isn’t exhaustive it is a great place to start and a great way to put your mind at rest before embarking on your own summer holiday.
